British Wheelchair Basketball is committed to protecting and respecting your privacy and complying with the principles of applicable data protection laws.
This notice sets out the basis on which any personal data we collect from you, or that you provide to us, will be processed by us. This includes when you provide personal data to us as part of using our website, online systems, by completing forms provided by us or by any other method including a Whistleblowing incident or information disclosed by another individual which may violate our Codes of Conduct.
How we use your personal data will also depend in what capacity you interact with us (for example as a member or a customer).
We take great care to protect the rights of individuals, especially in the case of children (who are under 13). If you are aged 13 or under, please get your parent/guardian’s permission before you provide any other personal information to us.
It is important that you read this privacy notice together with any other privacy notice or fair processing notice we may provide on specific occasions when we are collecting or processing personal data about you so that you are fully aware of how and why we are using your data. This privacy notice supplements other notices and privacy policies and is not intended to override them.

Great Britain Wheelchair Basketball Association, known as British Wheelchair Basketball, is the controller and responsible for your personal data (collectively referred to as “BWB”, “we”, “us” or “our” in this privacy notice).
British Wheelchair Basketball will regularly review this Data Privacy Notice to ensure that best practice guidance is adhered to. It is important that the personal data we hold about you is accurate and current. Please keep us informed if your personal data changes during your relationship with us.

Collection of personal data
Personal data, or personal information, means any information about an individual from which that person can be identified. It does not include data where the identity has been removed (anonymous data). British Wheelchair Basketball may collect and process the following data about you:
For almost all individuals:
- Contact and Identity Data includes full name and home and / or business address, email address and telephone number, parent’s or guardian’s contact details where our members are children, emergency contact, date of birth and gender, ethnic origin, title, marital status, username or similar identifier, passport and/or driving licence information, nationality;
- Financial Data includes bank account and / or payment card details;
- Technical Data includes internet protocol (IP) address, your login data, browser type and version, time zone setting and location, browser plug-in types and versions, operating system and platform, and other technology on the devices you use to access this website;
- Profile Data includes your username and password, purchases or orders made by you, your interests, preferences, feedback and survey responses, your use of, and the information you provide, when registering and using BWB Digital Systems;
- Usage Data includes information about how you use our website, products and services; and
- Marketing and Communications Data includes your preferences in receiving marketing from us and our third parties and your communication preferences and records of communications and interactions we have had with you by various means.
- Safeguarding and Disciplinary Information includes investigations, hearings, sanctions, risk assessments and appeals.
- Social Media Data includes any data (including video footage) that you share on social media including but not limited to Facebook, Instagram, Twitter, YouTube, Tumblr, Whisper, and Tik Tok. This includes publicly available data and can also include private messages where a complaint is made or if this information is disclosed to us by another party. Whether we can process data from private correspondence will depend upon whether the content is in breach of our Codes of Conduct.
For customers: Customer Data includes details about payments to and from you and details of products you have purchased from us (including products, tickets to events or qualifications training) and your attendance at events.
For members: Member Data for all existing members and individuals who have been members within the last 11 years includes member number, club joined, start date, expiry date, venues and competitions played and rankings, qualifications and training, social media information, medical records, education and employment history, photography and video footage, disciplinary and safeguarding information.
For players: Player Data includes results and performance information, rankings and classification, shirt number, allergies, photographs and video footage, dietary requirements and other information relevant for training or competition arrangements, medical records and injury information, classification, anti-doping, disciplinary and safeguarding information, social media information.
For Inspire a Generation participants: Participant Data includes member number, activity joined, start date, expiry date, activities signed up, activities attended, allergies, photographs and video footage, dietary requirements and other information relevant for activity session arrangements, medical records and injury information, disciplinary and safeguarding information, social media information.
For coaches and officials: Coach and Officials Data includes availability, competitions attended and associated travel information, accreditations, qualifications and training, 3Disclosure and Barring Service checks and records information, photography and video footage, disciplinary and safeguarding information.
For volunteers: Volunteer Data includes volunteer role(s), attendance, availability, application details, references, Disclosure and Barring Service checks, photography and video footage, disciplinary and safeguarding information.
For community activators: Community Activator Data includes activities attended, availability, application details, qualifications and training, references, Disclosure and Barring services checks and records information, social media information, education and employment history, photography and video footage, disciplinary and safeguarding information.
We also collect, use and share Aggregated Data such as statistical or demographic data for any purpose. Aggregated Data could be derived from your personal data but is not considered personal data in law as this data will not directly or indirectly reveal your identity.
For example, we may aggregate your Usage Data to calculate the percentage of users accessing a specific website feature. However, if we combine or connect Aggregated Data with your personal data so that it can directly or indirectly identify you, we treat the combined data as personal data which will be used in accordance with this privacy notice.
We will receive personal data (including special category personal data) about you from various third parties including professional teams, to collectively manage and determine behaviours away from the BWB programme within the professional club environment.
Special category data
When you play, or when you coach, deliver sessions, officiate or volunteer with us, we may process certain special category data. This is set out in the definitions of Player Data, Participant Data, Coach and Officials Data, Volunteer Data and Community Activator Data above. Special category data is data that is more sensitive and therefore requires greater protection.
We have in place an appropriate policy document and safeguards which we are required by law to maintain when processing such data. We may process special categories of personal information in the following circumstances:
- In limited circumstances, with your explicit written consent.
- For reasons of substantial public interest (for example, for disciplinary and
- safeguarding purposes and to conduct research about player performance).
- For the provision of medical care and treatment.
- For research and statistical purposes.
- Where it is needed in the public interest, such as for equal opportunities monitoring.
- For the provision of eligibility and classification decisions.
Less commonly, we may process this type of information where it is needed in relation to legal and insurance claims or where it is needed to protect your interests (or someone else’s interests) and you are not capable of giving your consent, or where you have already made the information public.
Criminal offence data
For the purposes of compliance with our Competition Rules and Regulations and Safeguarding Policy, we may ask for DBS checks or seek criminal records information. This type of data is regulated under the legislation and we ensure that we limit the use of any such data both in time and in scope and that we meet appropriate lawful grounds for processing such data.

We may collect data from the following sources:
Direct interaction. You may give us your personal data:
• When you report a problem or make a complaint and, if you contact us, we may keep a record of that correspondence;
• When you complete optional surveys that we use for research purposes and to provide you with a more relevant customer experience; and
• When you respond to emails and other communications we have sent to you or when you communicate with us by post, phone, email, via the website and any other method of communication.

Playwaze Membership Portal, Globocol Eligibility Application System, Moodle Online
Learning Environment, WordPress Website, etc
Automated technologies or interactions. As you interact with our website, we will automatically collect Technical Data about your equipment, browsing actions and patterns.
We collect this personal data by using cookies and other similar technologies (detailed further below).
Third parties or publicly available sources. We will receive personal data about you from various third parties and public sources as set out below:
• Technical Data from analytics providers such as Google based outside the EU; and
• Contact, Financial and Customer Data from providers of technical, payment and delivery services;
• Member, Coach and Official, Volunteer, Community Activator Data, Participant Data and Player Data from other organisations, for example, other clubs and High Performance Partnerships.
• Member Participant and Player Data from your social media accounts but only where you have given us permission to use it. For example, posts, pictures and video footage you share on sites such as Facebook and Twitter.
• Social Media Data from other individuals with whom you engage, either directly or indirectly.
When you participate in British Wheelchair Basketball Leagues or Competitions, where we may communicate your Contact and Identity and Player Data publicly in order to publicise the sport through live statistics, event photography, promotional material and live broadcasting; or
• From third parties where you consent to those other organisations sharing information they hold on you with us, and where those other organisations lawfully share your information with us.
• Where you upload or provide video or photography content to a BWB digital system or directly to the NGB.
If you fail to provide personal data
Where we need to collect personal data by law, or under the terms of a contract we have with you, and you fail to provide that data when requested, we may not be able to perform the contract we have or are trying to enter into with you. We will advise you at the time 5whether the provision of your personal information is mandatory or not (as well as the possible consequences if you do not provide your personal information).
How we use your personal data
We will only use your personal data when the law allows us to. Most commonly, we will use your personal data in the following circumstances:
• Where we need to perform the contract we are about to enter into or have entered into with you.
• Where it is necessary for our legitimate interests (or those of a third party) and your interests and fundamental rights do not override those interests.
• Where we need to comply with a legal obligation.
• Where we need to comply with a governance and/or funder obligation
• Where we need protect your vital interests or those of another person.
Generally, we do not rely on consent as a legal basis for processing your personal data although we will get your consent before sending third party direct marketing communications to you via email or text message. You have the right to withdraw consent to marketing at any time by contacting us.
Purposes for which we will use your personal data We have set out within an annex to this notice, in a table format, a description of all the ways we plan to use your personal data, and which of the legal bases we rely on to do so.

Note that we may process your personal data for more than one lawful ground depending on the specific purpose for which we are using your data. Please contact us if you need details about the specific legal ground we are relying on to process your personal data where more than one ground has been set out in the table below.
British Wheelchair Basketball will not use any of the personal information we collect from you to make automated business decisions that have a legal or material impact on you.
Marketing
We may use your personal data to form a view on what we think you may want or need, or what may be of interest to you. This is how we decide which products, services and offers may be relevant for you.
You will receive marketing communications from us if you have requested information from us, if you have become a member or if you have purchased goods or services from us and you have not opted out of receiving that marketing.
We will get your express opt-in consent before we share your personal data with any third party for marketing purposes.
Change of purpose
We will only use your personal data for the purposes for which we collected it, unless we reasonably consider that we need to use it for another reason and that reason is compatible with the original purpose. If you wish to get an explanation as to how the processing for the new purpose is compatible with the original purpose, please contact us. If we need to use your personal data for an unrelated purpose, we will notify you and we will explain the legal basis which allows us to do so. Please note that we may process your personal data without your knowledge or consent, in compliance with the above rules, where this is required or permitted by law.
Information security
British Wheelchair Basketball will take all reasonable steps necessary (including policies, procedures and security features) to ensure that your data is treated securely and protected from unauthorised and unlawful access and/or use, and in accordance with this notice.
Unfortunately, the transmission of information via the internet is not completely secure and, although we will do our best to protect your personal data transmitted to us via the internet, we cannot guarantee the security of your data transmitted to our website from your device. Any transmission is at your own risk.
Where we have given you (or where you have chosen) a password which enables you to access certain parts of the website and digital systems, you are responsible for keeping this password confidential. We ask you not to share your password with anyone. We limit access to your personal data to those employees, agents, contractors and other third parties who have a business need to know. They will only process your personal data on our instructions, and they are subject to a duty of confidentiality. Where any payments are being collected on our behalf, we require our payment providers to be compliant with the Payment Card Industry’s Data Security standards (PCI-DSS).
We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.
Recipients of personal data
By registering with British Wheelchair Basketball’s Digital System your details will be visible to British Wheelchair Basketball administrators for the purposes detailed within this Data Privacy Notice.
When joining teams, activities, clubs and communities your details will also be visible to identified British Wheelchair Basketball Club, Delivery Partner and Team Administrators, who are authorised Data Processors on behalf of British Wheelchair Basketball as the Data Controller.
When interacting with the Online Learning Site your details will be visible to identified course tutors / teachers, who are authorised Data Processors on behalf of British Wheelchair Basketball as the Data Controller.
Disclosures of your personal data
Where you are subject to a sanction or a restriction on the activities you may carry out is imposed by British Wheelchair Basketball, your name, the violation and the sanction or outcome will be shared with interested third parties, both inside and outside the sport, and will be published on our website. • Social media companies (e.g. Facebook/Twitter) – to verify your identity when you register on our web site using ‘register with’ functions and to provide you with relevant social media posts
• Online learning hosting companies – to enable our customers to take part in online training and learning
• Governing bodies of Wheelchair Basketball – to assist in event management, disciplinary issues and maintenance of competition licences (IWBF and other federations)
• British Wheelchair Basketball registered event organisers and officials – to enable event organisers and officials to manage British Wheelchair Basketball registered activities and communicate with participants and appointed volunteers.
• British Wheelchair Basketball affiliated club officials and group leaders – to enable clubs and group leaders to communicate with and administer activities for those belonging to their club or group.
• British Wheelchair Basketball Clubs – Identified club contact and identity information will be shared to support the promotion and recruitment of participants to the specific club or organisation. This may include the sharing of the primary club contacts email address via external digital systems and the British Wheelchair Basketball website. Identified club contact and identity information will be shared and visible to identified system/club administrators within British Wheelchair Basketball’s digital systems to enable the running of the sport.
• Inspire a Generation Delivery Partners – to enable session organisers and officials to manage Inspire a Generation registered activities and communicate with participants and appointed volunteers. Identified Delivery Partner contact and identity information will be shared to support the promotion and recruitment of Community Activators to the specific activity. This may include the sharing of the primary Delivery Partner contacts email address via external digital systems and the Inspire a Generation website. Identified Delivery Partner contact and identity information will be shared and visible to identify system/session administrators within British Wheelchair Basketball’s digital systems to enable the running of the session or activity.
• Inspire a Generation Community Activators – Community Activator identity information will be shared to support the promotion and recruitment of participants to the specific session. This may include the Community Activators email address via external digital systems and the Inspire a Generation website. Identified Community Activator contact, and identity information will be shared and visible to identified system/community administrators within British Wheelchair Basketball’s digital systems to enable the running of the sport.
• Sports results agencies – to collate results and reports for the British Wheelchair Basketball website and digital systems on behalf of British Wheelchair Basketball
• Dispute resolution bodies – to support the resolution of disciplinary and safeguarding cases.
• Performance contractors and High Performance Partnerships – to support the delivery of British Wheelchair Basketball’s Performance programmes
• Third party professional organisations – to support the work of British Wheelchair Basketball. This would include the delivery of governance, anti-doping, legal, safeguarding, eligibility/classification, disciplinary, public health track and trace and IT services and HM Revenue & Customs, regulators and other authorities who require reporting of processing activities and access to member data in certain circumstances.
• Commercial Partners – who provide products and services for BWB affiliated clubs.
• Public Health Track and Trace – to support the work of national health organisations.
• Education Partners – to support the delivery of British Wheelchair Basketball courses and education programmes.
• Professional teams – to collectively manage and determine behaviours away from the BWB programme within the professional club environment.
• High Performance Sector Stakeholders – to support the development and selection of athletes on programme and on competition as they progress through their home country and GB talent pathways – this might include the sharing of data with (but not limited to) High Performance Partnerships, Commonwealth Games England, Basketball Scotland, Disability Sport Northern Ireland, Disability Sport Wales, UK Sport, British Paralympic Association (BPA), International Paralympic Committee (IPC) and Commonwealth Games Federation (CGF).
We require all third parties to respect the security of your personal data and to treat it in accordance with the law. We do not allow our third-party service providers to use your personal data for their own purposes and only permit them to process your personal data for specified purposes and in accordance with our instructions.
International transfer of personal data
On some occasions, the information we collect may be transferred to organisations who may store and use such data at premises in other countries. Where we allow an organisation to process your personal information outside of the European Economic Area (EEA), we will ensure that a similar degree of protection is afforded to it by ensuring at least one of the following safeguards is implemented:
• We will only transfer your personal data to countries that have been deemed to provide an adequate level of protection for personal data by the European Commission. For further details, see European Commission: Adequacy of the protection of personal data in non-EU countries.
• Where we use certain service providers, we may use specific contracts approved by the European Commission which give personal data the same protection it has in Europe. For further details, see European Commission: Model contracts for the transfer of personal data to third countries.
• Where we use providers based in the US, we may transfer data to them if they are part of the Privacy Shield which requires them to provide similar protection to personal data shared between Europe and the US. For further details, see European Commission: EU-US Privacy Shield.

Data retention period
We will hold information about you in our data systems only for as long as we need it for the purpose for which we collected it, which is as follows:
• As long as you continue to log into our website or use our services (including engaging with emails, entering Wheelchair Basketball events, making purchases, entering prize draws or downloading content) we will retain and process information about you.
In such cases, you will be considered to be an ‘active’ customer. If you have not been ‘active’ as a customer for a period of eleven years, British Wheelchair Basketball will deactivate your customer account and anonymise any personal data relating to you.
• Medical records may be retained for a period of 25 years from the date of your last ‘active’ season.
• Any data relating to the obligations of British Wheelchair Basketball to maintain a comprehensive, published index of results as a National Governing Body for sport will be retained. This would not include more than name, age category and gender alongside details of the event in which an individual took part.
• Personal data linked to the processing of insurance claims, subject access requests, disputes, safeguarding investigations, anti-doping, disciplinary or police matters will only be kept for as long as it necessary for those purposes, as each is applicable.
IP addresses and cookies
We may collect information about your computer, including where available your IP address, operating system and browser type, for system administration and to report aggregate information to our advertisers. This is statistical data about our users’ browsing actions and patterns, and does not identify any individual.
You may refuse to accept cookies by activating the setting on your browser which allows you to refuse the setting of cookies. However, if you select this setting you may be unable to access certain parts of the website and online systems. Unless you have adjusted your browser setting so that it will refuse cookies, our system may issue cookies when you log on to the website and online systems.

Your legal rights
Under certain circumstances, you have rights under data protection laws in relation to your personal data, which are summarised below:
• Right of access – You have the right to obtain a copy of information we hold about you.
• Right of rectification or erasure – If you feel that any data that we hold about you is inaccurate, you have the right to ask us to correct or rectify it. You also have a right to ask us to erase information about you where you can demonstrate that the data we hold is no longer needed by us, or if you withdraw the consent upon which our processing is based, or if you feel that we are unlawfully processing your data.
Please note that we may be entitled to retain your personal data despite your request, for example if we are under a separate legal obligation to retain it.
Your right of rectification and erasure extends to anyone we have disclosed your personal information to and we will take all reasonable steps to inform those with whom we have shared their data about your request for erasure.
• Right to restriction of processing – ou have a right to request that we refrain from processing your data where you contest its accuracy, or the processing is unlawful and you have opposed its erasure, or where we do not need to hold your data any longer, but you need us to in order to establish, exercise or defend any legal claims, or we are in dispute about the legality of our processing your personal data.
• Right to Portability – You have a right to receive any personal data that you have provided to us in order to transfer it onto another data controller where the processing is based on consent and is carried out by automated means.
This is called a data portability request.
• Right to Object – You have a right to object to our processing your personal data where the basis of the processing is our legitimate interests including but not limited to direct marketing and profiling.
• Right to Withdraw Consent – You have the right to withdraw your consent for the processing of your personal data where the processing is based on consent.
• Right of Complaint – You also have the right to lodge a complaint about any aspect of how we are handling your data with the UK Information Commissioner’s Office, which can be contacted at www.ico.org.uk.
• Right to Opt-out of Marketing Communications – You have the right to opt-out of marketing communications we send to you at any time. You can exercise this right by clicking on the “unsubscribe” or “opt-out” link in the marketing emails we send you.
